Dental Office Manager: Description
The Dental Office Manager at our practice plays a vital role in ensuring the seamless operation of our high-volume, patient-focused dental center. They lead daily workflows with a commitment to excellence in service quality, team coordination, compliance, and operational efficiency.
- Leading and coordinating daily operations of a high-volume dental practice to ensure efficiency and service excellence.
- Overseeing team schedules, patient flow, and front-desk operations to optimize productivity and patient satisfaction.
- Managing staffing, performance, and training to build a motivated, service-oriented team.
- Ensuring compliance with all regulatory standards, including HIPAA and OSHA.
- Monitoring and reporting key performance indicators (KPIs) to track operational goals and identify areas for improvement.
- Partnering with the Revenue Cycle Management (RCM) team to maintain clean claims, minimize denials, and control accounts receivable.
- Supervising vendor relationships, supply inventory, and equipment maintenance to support uninterrupted clinical operations.
- Supporting providers by ensuring clinical documentation is finalized within 24 hours.
- Handling patient experience initiatives, including service recovery and satisfaction tracking.
- Maintaining confidentiality of patient and practice information at all times.
- Proven ability to lead and inspire a team in a fast-paced healthcare environment.
- Strong organizational and communication skills, with attention to operational details.
- Familiarity with Open Dental software (knowledge of ECW is a plus).
- Understanding of key financial and performance metrics (KPI literacy).
- Commitment to delivering a superior patient-first experience.
- Required: High school diploma or GED; Bachelor’s degree in healthcare management or related field preferred.
- Experience: 2–5 years in dental or medical practice leadership.
- Technical Skills: Proficiency in Open Dental; working knowledge of billing and claims processes.
- Certifications: CPR certification preferred; ongoing compliance training required.
- Languages: Bilingual proficiency in English and Spanish strongly preferred for effective patient and team communication.
